The Hospital Research Foundation Group Longest Table Fundraiser 

The Longest Table 2025 is a peer-to-peer fundraising campaign owned and organised by The Hospital Research Foundation Inc. (ABN 86 248 830 078) (THRF Group). The objectives of The Longest Table 2025 are to engage the community and fundraise for cancer research through THRF Group.  

These Terms and Conditions apply to individuals who register as a host for The Longest Table (TLT) campaign. By registering, you acknowledge and agree to these Terms and Conditions.

The official date to host a Longest Table in 2025 is 26 July 2025. Hosts can however choose any date to host before 31 August 2025. Registrations for the campaign open on Monday 31 March 2025. Registered hosts will be notified of any change in dates. Registrations close on Sunday 24 August 2025, with the last day to host on 31 August 2025. 

1. Registration

Upon registering as a TLT host, you will be able to access a temporary Authority to Fundraise Permit via the online Funraisin dashboard, confirming our involvement. You will need this document to solicit donations in face-to-face interactions.  THRF Group reserves the right to withdraw this permit at any time by notice to you.

TLT events shall be conducted in the host’s name. The host has sole responsibility for their TLT event. THRF Group does not take any responsibility for the running or success of a host’s TLT event.

2. TLT Hosts

Approved documents and/or promotional material are available to download on the TLT website under the ‘Resources’ tab and the host online dashboard. Logo and style guide requests must be made in writing and use is subject to approval. Any documents or promotional material used by a host for their TLT event must be in accordance with our style guide, which details the use of our logo and name.

It is the responsibility of the host to:

• ensure that their TLT event complies with all relevant legal and regulatory requirements;

• arrange appropriate insurance cover for the event as required; and

• obtain any relevant licenses or permissions from relevant authorities for the event. 

THRF Group reserves the right, in its absolute discretion, to accept or decline any registration from a host at any time. If a registration is declined/cancelled the donations raised by the host will not be refunded.

TLT hosts must be aged 15 years or over unless supervised by an adult. 

3. Donations 

All fundraising donations for the Event must be made through the host’s online event fundraising page on Funraisin - www.funraisin.co (Funraisin ABN 90 1476 291 50). The Privacy Policy for Funraisin can be viewed here: https://www.funraisin.co/privacy-policy

All fundraising donations will be received by THRF Group. THRF Group is a deductible gift recipient and donations over $2 are tax deductible. When a donor donates $2 or more online to a TLT host’s fundraising page, an automatic tax-deductible receipt will be issued to the donor’s nominated email address.

Donations will not be refunded in any circumstances, including where a host is unable to participate in the campaign or in the case of cancellation.

If you wish to collect offline donations towards your TLT event, individual receipts will only be issued to the donors by THRF Group if the donation is $2 or more, and you supply THRF Group with a register of all donors who request a receipt. This register must be in a written format with details including date, name, address, email and donated amount. 

All funds raised by TLT hosts must be submitted to THRF Group by Sunday 14th September 2025 to be counted towards The Longest Table 2025 final total. If you donate after this date, your donation will still go to the cause, however it will not be included in the final total for 2025. 

4. Your Personal Information 

By registering for TLT and providing your contact details, you consent to being contacted by The Hospital Research Foundation Group regarding the Event, The Longest Table, and future events. This includes email marketing and other digital marketing and advertising.

You may opt out of receiving further marketing communications by following the opt-out instructions provided in the communication.

5. Fundraising Rewards 

To be eligible to receive a fundraising reward, TLT hosts need to meet the conditions outlined below by Thursday 11:59pm ACST, on 11 September 2025. 

Hosts must provide an Australian delivery address when they register, in order to receive a fundraising reward. THRF Group will not send rewards outside of Australia.

Reward items will be mailed out weekly from 1 June 2025 and may take up to 10 business days to reach you. Rewards will be delivered to the address provided upon registration.

Reach the following milestone fundraising targets, as outlined below, to receive a reward:

  a. Make an online personal donation of $25 or more (one transaction) - receive an exclusive TLT Tea Towel. Available for the first 500 eligible hosts.

  b. Raise $500 in total – receive a TLT Tote Bag. Available for the first 300 eligible hosts. 

  c. Raise $1,000 in total – receive a TLT Table Runner. Available for the first 250 eligible hosts.

  d. Raise $1,500 in total – receive a TLT Apron. Available for the first 200 eligible hosts.

  e. Raise $5,000 or more in total – receive a TLT Pin and Salt and Pepper Shakers. Available for the first eligible 15 hosts.

6. The Longest Table donation gift match disclaimer

Your Longest Table donations will be matched! Every host who raises $5,000 or more will have their Table matched with an additional $5,000 for cancer research. That means your $5,000 becomes $10,000! The matching gift is available for the first 20 hosts who raise at least $5,000. Even if you raise more than $5,000, the maximum matching amount is $5,000 per host/table.

Donations made via www.thelongesttable.com.au on or before Saturday 31 August, at 11:59PM ACST are eligible for matching up to the total matching fund amount of $100,000. Matching stops at 11:59 PM ACST, or if the fund is exhausted prior. Any matching pledges unfulfilled before 31 August 2024, at 11:59 AM ACST, will not be included in the matching fund total.

General
1.    The Promoter is The Hospital Research Foundation Group (ABN 86 248 830 078) of 62 Woodville Road, Woodville South Australia 5011.

2.    Information on how to enter and the prize forms part of the terms of entry. Entry into the competition is deemed acceptance of these terms and conditions.

3.    If there is any inconsistency between these Terms and Conditions and anything else that refers to this competition, these Terms and Conditions will prevail.
 
Who can enter
4.    Entry is open to registered The Longest Table (TLT) hosts, who are 18 years or older, residing in Australia except employees of the Promoter and its affiliated entities and their immediate family who reside in the same household.


When to enter


5.    The competition commences on Friday 29/08/2025 at 3:00pm ACST and concludes on Monday 1/09/2025 at 11:59pm ACST.


6.    The time of entry will in each case be the time the host’s donations are received by the Promoter.


7.    The Promoter accepts no responsibility for any late, lost or misdirected entries.


 How to enter
8.    Details on how to enter the competition: Participants must raise $300 in online donations by Monday 1/09/2025 at 11:59pm ACST in order to win one (1) gift package of - a Haigh’s Chocolate voucher ($75 in total value) and a Hither & Yon Wine mixed 6 pack ($175 in total value.)  
($250 total prize pool).

Only one prize will be awarded to a registered host who meets the criteria, selected at random. 
The prize cannot be split.

9.    To enter the competition individuals must:

a) Be a registered TLT host who is older than 18 years and reside in Australia.  

b) Raise $300 in donations before competition closes on 1 September 2025.

c) In order to be eligible, hosts must have received $300 in donations by the due date that are transacted on their online fundraising page on the Funraisin platform.
Once these conditions are met, individuals will automatically be entered into the competition.


10.    The Promoter reserves the right to disqualify any entrant who has, in the opinion of Promoter, engaged in conduct in entering the Promotion which is fraudulent, misleading, deceptive or generally damaging to the goodwill or reputation of the Promotion and/or Promoter.


Number of Entries permitted


11.    Only one entry per person. Only one prize will be awarded to registered hosts who meet the criteria, selected at random.
 
 Draw and Notification of winner


12.    The winner will be the first (1) valid entry submitted in accordance with these terms and conditions that is drawn by The Hospital Research Foundation Group by random computer selection at 12:00pm ACST on Tuesday 2/09/2025 at 62 Woodville Road, Woodville, SA 5011

13.    The Promoter’s decision is final and the Promoter will not enter into correspondence regarding the competition result or any other decisions the Promoter makes in connection with the Promotion.

14.    The winner will be notified by phone and email on Tuesday 2/09/2025. The prize will be awarded to the person named in the entry.

15.    Should an entrant’s contact details change during the promotional period, it is the entrant’s responsibility to notify the Promoter. A request to access or modify any information provided in an entry should be directed to the Promoter.

16.    The winner must collect the gift package from 62 Woodville Road, Woodville SA 5011. If collection is not possible in person, the gift voucher will be posted to the winner’s address obtained during their online registration.


Prize on offer


18.    The maximum prize value is $250 (including GST) as at 29/08/2025. One (1) winner will win a gift package of one (1) Haigh’s chocolate voucher and one (1) Hither & Yon mixed wine pack.

19.    The prize cannot be transferred, exchanged or redeemed for cash.

20.    It is a condition of accepting the prize that the winner must comply with all the conditions of use of the prize and the prize supplier’s requirements. It is the responsibility of the winner to confirm such conditions with the prize supplier or other relevant third parties.

21.    The prize is only valid for the date or period specified on the voucher card (if applicable) or by the provider and is subject to any terms and conditions imposed by the provider. Once awarded, the Promoter is not liable for any voucher card (if applicable) that has been lost, stolen, forged, damaged or tampered with in any way.
 
Further Terms and Conditions
22.    Subject to complying with all relevant State and Territory legislation, the Promoter reserves the right to amend, cancel or suspend this competition if an event beyond the control of the Promoter corrupts or affect the administration security, fairness, integrity or proper conduct of the competition.

23.    Entrants are responsible for any cost associated with accessing the promotional website. Access to that site is dependent on the Internet service provider.

24.    If the prize is unavailable, for whatever reason, the Promoter reserves the right to substitute the prize for a prize of equal or greater value, subject to State and Territory legislation. It is a condition of accepting the prize that the winner must comply with all the conditions of use of the prize and prize supplier’s requirements. Each prize must be taken as stated and no compensation will be payable if a winner is unable to use the prize as stated.

25.    The Promoter will make reasonable efforts to deliver the prize to the address provided by the winner. If a prize is returned to the Promoter because it could not be delivered to the address provided, the Promoter cannot guarantee that it will be able to resend the prize. The Promoter and its affiliates will not be liable for any damage to or delay in transit of the prize.

26.    The Promoter reserves the right to redraw the prize if an entrant who claims to be a prize winner is unable to satisfy these terms and conditions.
